Students Module


The Student module tracks an apprentice's journey through the application process to acceptance in the trade. The application tracks on-the-job training skills and coursework. Coordinators can manage an apprentice's progress to ensure timely progression through their apprenticeship program. When a student becomes a journeyman, the application tracks certification, on-going training and skills.

The Students module—like all modules in Apprenticeship Tracker—logs all changes and stores historical information about the student.

Tracking All Changes to Information

  • Changes to personal information are logged so that they may be reported to State, Provincial, or other agencies
  • When an apprentice changes trades, AP Tracker logs the agreement number and employment start/end dates

Application Status

  • Multiple simultaneous trade applications are logged and tracked

Accepted Status

  • Work experience automatically loaded as active

Training Centers

  • AP Tracker analyzes the distance between a student's home address and each training center in order to track whether a student gets a training disbursement (travel costs)
  • Supports multiple locations

Accounting

  • Creates invoices and syncs with QuickBooks
  • Invoices created in QuickBooks originally may be synced with AP Tracker
  • Generates checks to students (travel reimbursements, etc.)
  • Generates invoices for unpaid expenditures on courses
  • Tied to citation features (i.e. a student may be cited for failing to pay for a course)
  • One-click add, update, and view student records in QuickBooks
  • AP Tracker creates students as both customer and vendor so QuickBooks syncing, as well as payments/credits is seamless

Waiting List

  • Uses AP Tracker web interface functionality to permit students to add themselves to the waiting list for classes, which are not currently offered. (Note: This is not the same as waiting lists for a current class, which might be full.)

Others

  • Create and manage usernames and passwords
  • View dashboard showing a students outstanding modules and courses required to complete apprenticeship
  • View quarters that are open for classes

Scheduling

  • Currently scheduled coursework and past history is instantly accessible
  • Schedule students for classes—enroll students and record prior coursework
  • These features are accessible with AP Tracker's web interface functionality¹
  • History: Log of all actions pertaining to students including: citations, leaves of absence, cancellations, address changes, letters, types of updates, what changed and who changed it, when ws information changed and when is the change effective
  • Employment: logs of student's submitted work hours, preview of hours submitted online, one-click reports filtered by employer, work-code, and time period¹
  • Training including: certifications earned, tracking expiration dates (system will automatically email a student and alert them to certifications which might be expiring
  • Progress including: block-level course and program tracking, welding hours tracking
  • Overview including: grid-based chart showing student progress towards his/her apprenticeship, credits for modules, flags set by instructor or staff to track specific students, statuses filtered by term, hours, add, forzen, suspended, training center location and coordinator
